Financial overview

In the financial report, you can:

  • Track the budget and spending for the project
  • View a list of employees on your projects

Reallocation of expenses

There may be situations where an expense has been recorded incorrectly, for example:

  • to the wrong project
  • under the wrong expense type
  • in the wrong period

What to do:

Contact your project controller and provide the following:

  • Which expense needs to be moved (include a specific reference)
  • Where the expense should be moved to (new project/expense type/period)

Changes to the project plan

⚠️ Always inform your project controller if anything changes from the original plan.

Common changes may include:

  • Parental leave: A project employee goes on parental leave.
  • Long-term illness: A project employee is on extended sick leave.
  • Rebudgeting: You wish to allocate funds differently than originally planned.
    • Remember to attach written approval from the funder.
  • Changes to the project period: The project is extended, shortened, or rescheduled.
    • Remember to apply for an extension in case of illness or parental leave.
    • Include written approval from the funder.
  • Changes in staffing: It becomes necessary to change the personnel funded by the project.
  • Supplementary grants
    If you receive a supplementary grant, please contact your project controller.
    If the grant letter clearly states that it is a supplement to an existing project, there is no need to create a new project. Instead, the contract amount of the existing project is increased.

Ongoing financial reporting

Some funders require ongoing financial reporting—e.g., annual reports.

Your project controller will assist you in preparing these reports in collaboration with you.

If your funder uses a platform

Grant your project controller access to the platform, if possible. This ensures that reports and accounts can be uploaded accurately and on time.
